The following is an overview of the features of the Exposition Management module:
Exposition Definition and Planning
This setup area enables you to define specific exposition details, such as the following:
■ Various booth products (sizes and types)
■ Pricing schedules
■ Other services, such as utilities, furniture, and carpet
Detailed Prospect List Maintenance
This component enables you to create prospect lists both from historical exhibitor files and specified additions of your own. Use this component to do the following:
■ Scan through the special prospect working list as often as you want, inquiring about adding or updating records as you develop your marketing database
■ Write notes to yourself with tickler follow-up dates
■ Create mass mailings and generate mailing labels from the entire prospect list or any defined subset
Detailed Information Tracking
This feature enables you to track and review the short-term and long-term history of exhibitor booth and participation activity, including exhibits currently booked and past exhibits. In addition, all of the standard iMIS database features, including notes and custom demographics, and other tracking fields are available to the Exhibitor's Profile function. For example, Notes fields can store exhibitor products and service information.
Exposition Order Processing
The feature includes all aspects of signing up exhibitors, such as the following:
■ Booking specific booths and booth materials for each exhibitor
■ Registering booth personnel for tracking reports and producing badges
■ Recording deposits and other ongoing payments as they are made
■ Placing booths on hold for a specified period of time while waiting for contracts and deposits
Note: To authorize credit card payments for Events, Exhibition, Exposition, and Orders, enter them through Service Central > Enter and edit payments (if licensed for SERVCEN) or AR/Cash > Cash receipts (if licensed for CCAUTH).
Exposition Reporting
This feature includes many letters and reports, including the following:
■ Status inquiries by exhibitor or by booth
■ Inquiries and reports on booths sold and booths available
■ Inquiries and reports on exhibitor orders, including booth numbers, fees, and payments made or due
■ Badges
■ Confirmations
■ Invoices
